This pivotal role is instrumental in streamlining hiring processes and enhancing overall Talent Acquisition operations. You will be responsible for ensuring seamless interview coordination and optimizing recruiting tools and systems across the organization, contributing significantly to efficient and candidate-centric hiring.
Key Responsibilities:
- Orchestrate complex, high-volume, and multi-timezone interview scheduling, prioritizing an efficient and positive candidate experience.
- Utilize advanced scheduling tools including Google Calendar, Gmail, GoodTime, and Lever to manage interviews, proactively addressing conflicts and last-minute adjustments.
- Collaborate closely with recruiters to align interview logistics with candidate availability, role priorities, and interviewer schedules.
- Coordinate interviews for executive and senior leadership roles, working in tandem with Executive Assistants to manage intricate calendars and shifting priorities with utmost confidentiality.
- Oversee comprehensive interview logistics, encompassing debrief sessions, candidate travel arrangements, and meal voucher distribution.
- Maintain meticulous records within the Applicant Tracking System (ATS) and recruiting platforms like Lever and GoodTime, adhering to documentation standards and identifying data quality issues.
- Analyze and report on coordination insights and trends, such as scheduling bottlenecks and candidate feedback, to drive improvements in hiring efficiency.
- Conduct candidate office tours and manage professional onsite candidate communications.
- Provide scheduling and logistical support for rotational and early-career programs as needed.
- Support and optimize recruiting technologies including GoodTime, Lever, CodeSignal, CRMs, and assessment tools to enhance operational efficiency and user experience.
- Serve as a primary point of contact for ATS and scheduling tool support, troubleshooting issues and escalating system challenges.
- Track and highlight operational trends and risks, such as scheduling delays and interviewer load, to facilitate smoother hiring execution.
- Develop and maintain documentation, templates, and best practices for coordination processes to ensure consistency.
- Offer operational support during process changes, system updates, and peak hiring periods to minimize disruption to active hiring workflows.
Qualifications:
- A minimum of 4 years of experience coordinating Engineering and Non-Engineering interviews, managing end-to-end scheduling and logistics across multiple time zones.
- Proficiency with essential scheduling and recruitment tools such as GoodTime, Gmail, Google Calendar, Lever, CodeSignal, and other ATS/interview scheduling platforms.
- Demonstrated ability to handle confidential and sensitive information with discretion.
- Exceptional organizational skills with proven success in simultaneously managing complex schedules, interviewer availability, and candidate logistics.
- Strong communication skills, capable of conveying information clearly, professionally, and effectively to diverse stakeholders.
- A proactive and detail-oriented approach, thriving in fast-paced environments by anticipating challenges and adapting swiftly.
