Senior Payroll Specialist

Ramboll is seeking a motivated Senior Payroll Specialist to join its Global HR operations team. This role is crucial for ensuring accurate, compliant, and timely payroll delivery for employees across multiple countries, with a primary focus on the Americas and EMEA regions. The ideal candidate will act as the key liaison between Ramboll and its outsourced payroll vendors, driving efficiency and automation.

As a Senior Payroll Specialist, you will be responsible for the end-to-end payroll process for various countries, manage employee payroll queries via ServiceNow, and collaborate closely with external payroll providers. You will maintain payroll data integrity, support payroll transformation projects, and interpret statutory regulations for tax, social security, and labor compliance. This position requires strong analytical skills, attention to detail, and the ability to work effectively in a global matrix environment.

Key Responsibilities:

• Manage end-to-end payroll processing for Americas and EMEA regions, and support other regions as needed.
• Respond to employee payroll queries through ServiceNow, ensuring timely and accurate resolutions.
• Liaise with external payroll providers for processing, audits, and issue resolution.
• Ensure payroll data accuracy and reconcile across systems.
• Participate in payroll transformation and automation projects.
• Interpret and apply international payroll regulations and compliance requirements.
• Act as an escalation point for complex payroll issues and mentor junior team members.
• Collaborate with internal departments such as Audit, Finance, HR, and Compliance.
• Ensure adherence to global Standard Operating Procedures (SOPs) and contribute to process improvements.

Qualifications:

• 5–7 years of payroll processing experience in a multi-country environment, with a focus on Americas and EMEA.
• In-depth knowledge of payroll regulations, tax laws, statutory compliance, and social security across multiple countries; APAC payroll experience is a plus.
• Proficiency in systems like Workday and hands-on experience with ServiceNow for payroll query management.
• Strong data accuracy, analytical thinking, and attention to detail.
• Advanced Excel skills and familiarity with the Microsoft Office Suite.
• Proven ability to collaborate effectively across functions and levels in a global matrix environment.
• A proactive, solution-oriented mindset with a strong willingness to learn and adapt.
• Professional certifications such as CPP, GPM, or country-specific payroll certifications are advantageous.
