Purchase Executive

Job Summary

Gearlinc Systems is seeking a dedicated Purchase Executive to manage the procurement of essential raw materials, components, and services for our production processes. This pivotal role involves sourcing, negotiating, and ensuring the timely delivery of high-quality materials at competitive prices to support seamless manufacturing operations in Ahmedabad (Moraiya).

Key Responsibilities

• Identify and cultivate relationships with new suppliers for critical raw materials and components, including castings, forgings, bearings, seals, and gearbox parts.
• Solicit and meticulously compare quotations from various vendors, preparing detailed comparative statements for informed decision-making.
• Lead negotiations on pricing, payment terms, and delivery schedules to secure optimal terms for the company.
• Generate and manage Purchase Orders (PO), ensuring diligent follow-up for adherence to delivery timelines.
• Collaborate effectively with Production, Planning, and Stores departments to accurately forecast and fulfill material requirements.
• Maintain comprehensive and organized records of all purchase transactions and vendor information.
• Monitor inventory levels vigilantly to prevent material shortages and avoid overstocking, optimizing working capital.
• Conduct regular vendor performance evaluations and foster strong, long-term supplier relationships.
• Ensure all procurement activities strictly comply with company policies, ethical standards, and quality benchmarks.
• Oversee and manage the process of inward material verification in close coordination with the quality assurance team.

Required Skills

• Exceptional negotiation and interpersonal communication abilities.
• Proficiency in MS Excel for data analysis and reporting, coupled with experience using ERP systems.
• Solid understanding of mechanical components and engineering materials relevant to our industry.
• Strong analytical skills for evaluating quotations and performing cost comparisons.
• Demonstrated ability in effective vendor management and relationship building.
• Basic familiarity with Goods and Services Tax (GST) regulations and standard billing procedures.

Educational Qualification

• Bachelor's degree in Commerce, Engineering, Supply Chain Management, or Business Administration.
• A Diploma or Bachelor of Engineering (BE) in Mechanical engineering is highly preferred, especially for our gearbox manufacturing unit.

Experience

• A minimum of 1 to 3 years of progressive experience in purchasing or procurement, with a strong preference for candidates from the manufacturing sector.
