Project Coordinator

VEIT, a leading specialty contractor with extensive experience, seeks a highly organized Project Coordinator to support our Earthwork & Utilities teams. This role is crucial for ensuring the efficient execution of project bids, contracts, and billings, alongside comprehensive administrative support for project closeout and daily operations. Based in New Berlin, WI, this position offers a dynamic work environment for a detail-oriented professional.

Key responsibilities include:

• Managing bid schedules and facilitating plan retrieval.
• Tracking and obtaining crucial addendums during the bidding process.
• Preparing bid forms and proposals, and coordinating bid delivery.
• Processing incoming project contracts and ensuring all required documentation, including insurance certificates and bonds, is secured.
• Preparing subcontracts, tracking subcontractor submittals, and managing related paperwork.
• Liaising with Project Managers and Estimators on project submittals and correspondence.
• Submitting certified payroll for both VEIT and subcontractors.
• Accurately preparing and submitting contract billings and tracking change orders.
• Assisting with the approval process for subcontractor billings and tracking client payments.
• Gathering and transmitting essential documentation for project closeout, such as lien waivers.
• Preparing requests for retainage release.
• Archiving project files and managing project correspondence and file setup.
• Providing administrative support for field staff, including accommodation arrangements.
• Maintaining open communication regarding any factors that could impact project success or company operations.
• Performing other duties as assigned by management.
