Akima, a prominent federal professional solutions contractor supporting the Department of Homeland Security, seeks a skilled Personnel Security Technician II for its South Burlington, VT office. This role is crucial for ensuring compliance and quality assurance in security documentation through administrative tasks and the processing of personnel security cases.
Key Responsibilities Include:
- Performing essential administrative and staff support duties.
- Preparing comprehensive reports and presentation materials.
- Managing and responding to incoming correspondence.
- Receiving and directing visitors professionally.
- Answering and screening telephone calls, scheduling appointments, and assisting with meeting notes.
- Resolving routine questions and problems effectively.
- Working under general supervision to complete assigned tasks.
- Assisting in the creation, maintenance, scanning, filing, retrieval, tracking, and destruction of electronic and physical personnel security records and case files.
- Reviewing various personnel security forms and documents for accuracy, completeness, and compliance.
- Performing data entry into multiple personnel security databases.
- Generating various periodic and ad-hoc reports.
- Monitoring central Outlook mailboxes, responding to inquiries, and fulfilling status requests.
- Assisting with the management of fingerprint cards, including pulling, filing, updating, and inventorying them in storage areas.
- Coordinating facility-related services, such as IT support for equipment and connectivity, conference room scheduling, and office supply management.
- Supporting property control and equipment inventory processes.
- Receiving and routing incoming telephone calls, mail, and facsimile transmissions.
- Assisting with the documentation of meeting minutes and general office information.
- Escorting uncleared vendors and visitors within the facility.
- Conducting quality assurance reviews of case files.
- Identifying data accuracy and inconsistencies, correcting minor infractions in electronic systems, and updating tracking mechanisms like MS Excel spreadsheets and MS Access databases.
- Recommending changes for developing new tracking mechanisms as needed.
- Creating electronic case files and assigning them for security processing based on established business processes and workload thresholds.
- Performing security name checks and gathering data from various government systems.
- Facilitating case file reviews for federal investigators by providing access to electronic personnel security case files.
- Preparing draft electronic and/or hard copy documentation for release in response to Freedom of Information Act (FOIA) requests or as directed by Federal Supervisors.
Qualifications:
- High School diploma or GED.
- A minimum of three (3) years of relevant work experience.
- Exceptional attention to detail, strong deadline management, organizational skills, and the ability to multitask in a fast-paced environment.
- Capacity to work independently, think logically, and collaborate effectively within group settings.
- Ability to follow general guidance and instructions with minimal supervision.
- High proficiency in Microsoft Office Suite (Outlook, Excel, Access, Word) and experience with database software.
- Excellent oral and written communication skills.
- Proficient typing skills and professional telephone and email etiquette.
- Strong customer service orientation.
- Ability to pass the USCIS Entry on Duty (EOD) process and obtain a secret level clearance.
Preferred Qualifications:
- Bachelor's degree.
- Experience with extended federal contracts.
