Full Job Description
G-P, a premier SaaS-based Global Employment Platform™, is dedicated to dismantling barriers to international business. This Office Coordinator role will oversee the daily operations of the Boston headquarters, engage with global stakeholders, and cultivate a productive office environment.
Responsibilities
- Manage the complete mail process for the Boston HQ, encompassing sorting, scanning, logging, and distributing physical mail to relevant stakeholders.
- Collaborate with Regus office contacts worldwide to arrange hard-copy mail routing for our various global entities.
- Serve as the main point of contact for Boston office facilities, addressing maintenance concerns and liaising with building management.
- Initiate and manage the building security card access process for our employees and sub-lease tenants.
- Maintain regular communication with the building management company to report maintenance issues, ensure cleaning quality standards, and promptly handle all other facilities-related inquiries.
- Oversee health & safety compliance, including fire and safety procedures, fire drills, safety equipment, and training.
- Manage office-related vendors, such as coordinating meal orders for team meetings, maintaining office supplies, and handling worldwide delivery services like FedEx.
- Perform general office administrative tasks to ensure a productive environment for the 'Dream Team'.
- Organize internal and offsite events, including meetings, team events, customer, and partner meetings.
- Undertake ad hoc duties as required by the business.
Qualifications
- A 2-year college degree (Associate's) in Business, Finance, or a related field is required.
- A minimum of 4 years of prior experience in office operations, office support, or a hospitality environment is highly preferred.
- Proficiency in spreadsheet applications (Excel), word processing, PowerPoint, and the Google suite.
- Excellent verbal and written communication skills, with the ability to foster open communication and build relationships with global stakeholders.
- Strong organizational skills with a keen focus on follow-through and driving for results.
- Impeccable customer service and interpersonal skills, with the ability to engage positively with colleagues at all levels and professionally represent G-P to external parties.
- Capacity to utilize financial data for decision-making and identify cost-saving opportunities.
- Patience and effectiveness in handling internal stakeholder requests and managing vendors.
- Experience with Workday is considered a plus.
