Full Job Description

The Family Office Mastermind Group is dedicated to cultivating a vetted community for multigenerational families, fostering an environment where members can learn collaboratively from one another and from distinguished domain experts. We are actively seeking a proactive and detail-oriented Membership & Events Coordinator to expertly manage membership conversion and renewal processes, and to meticulously oversee our dynamic programming calendar. This role is crucial in nurturing our exclusive network and ensuring seamless event execution within the vibrant landscape of California.

Responsibilities include:

  • Personally engage with and guide every approved prospect through the entire membership journey, with all interactions meticulously tracked in HubSpot.
  • Develop and implement warm, personalized follow-up cadences designed to transition interested families from initial inquiry to committed membership.
  • Take ownership of member renewals through proactive outreach, insightful satisfaction check-ins, and strategic retention initiatives.
  • Facilitate meaningful introductions between family members and our esteemed domain experts across FOMG's 22 specialized categories.
  • Plan and execute all FOMG programming, including signature quarterly events, intimate dinners, engaging happy hours, and curated member gatherings.
  • Manage all event logistics comprehensively, from venue coordination and guest list management to RSVP tracking, dietary requirement considerations, vendor relationships, day-of execution, and thorough post-event follow-up.
  • Design innovative cultivation events that enhance both the member experience and drive prospect conversion.
  • Capture leads, collect valuable feedback, and meticulously document outcomes from every event and member interaction.

Qualifications:

  • 3-7 years of experience in hospitality, private members' clubs, luxury hotels, nonprofit development, or membership organizations.
  • Demonstrated success in converting interest into commitment, whether in membership acquisition, donor cultivation, or client development.
  • Proven experience in event planning and execution, ranging from intimate dinners to gatherings of 50-100 attendees, including robust post-event documentation.
  • Exceptional written and verbal communication skills; your correspondence should be warm, clear, and make individuals feel genuinely valued and understood.
  • Proficiency in CRM systems (HubSpot preferred), Google Workspace, a strong service-oriented mindset, and an inherent sense of discretion.
  • Must reside within a 2-hour drive of San Francisco or Los Angeles, with flexibility for evening and weekend events (typically 4-6 per month).
  • A strong process orientation; you thrive on documentation, checklists, and ensuring no detail is overlooked.

Preferred Experience:

  • Previous experience working with renowned institutions such as The Battery, Soho House, Pacific-Union Club, Rosewood, or Four Seasons, or comparable establishments.
  • A background in nonprofit development or familiarity with family office and philanthropic communities.
