Full Job Description
The University of Oklahoma in Norman, OK, is seeking a dedicated Housing Occupancy Operations Coordinator to manage its extensive 7,000-bed housing operation. This vital supervisory role focuses on the comprehensive coordination of occupancy management, student room assignments, and accurate student billing. The position demands a commitment to maintaining responsive administrative processes and providing effective team leadership within the housing department.
Key responsibilities include overseeing data and record maintenance for housing assignments, room changes, move-ins, move-outs, and temporary relocations throughout the academic year. Decisions on assignments and space management will be guided by department priorities, relevant policies, and student needs. The coordinator will also attend events and meetings, serve on committees, and collaborate with campus partners such as Residence Life, Housing Operations, Sooner Card, Graduation and Persistence Support, and International Student Services to align operations and enhance the residential student experience. Management of daily operations and supervision of the Housing Occupancy Coordinator team, including hiring, training, and development, are integral to this role. Planning and coordinating special projects, such as leading the execution of complex seasonal timelines (fall opening, spring closing, summer housing, transition periods), and anticipating their downstream impacts on students and staff, are also required. The role serves as a liaison with various campus and off-campus offices and will participate in student recruitment events like New Sooner Orientation. Development of materials and strategies to improve occupancy-related policies, workflows, and practices for enhanced student outcomes and team efficiencies is expected, along with contributing subject-matter expertise to departmental planning. Ensuring the accuracy of team occupancy data and billing, proactively identifying and correcting potential issues, and directing the resolution of various occupancy-related cases (e.g., no-shows, not enrolled, early arrivals, late departures, special populations) are critical. The coordinator will plan team projects and timelines, set expectations, monitor progress, and provide support for project completion. Guidance on complex cases, policy interpretation, and exception handling will be provided, alongside continuous refinement of occupancy-related workflows in collaboration with the Assistant Director, Systems Manager, and Customer Relations Manager.
