Torstaff Personnel is actively seeking a highly organized and discreet Executive Assistant to provide comprehensive support to the Chief Financial Officer (CFO) in our Toronto, Ontario, Canada office. This role is crucial for managing confidential legal and financial documents, efficiently prioritizing tasks, and maintaining a professional and organized office environment for the CFO. The ideal candidate will be a key member of the senior executive support team, adept at word processing sensitive memos and reports, transcribing meeting notes promptly, and managing a demanding workload to meet critical deadlines. Responsibilities include reviewing and prioritizing incoming correspondence, drafting outgoing communications, coordinating requests for proposals and high-profile reports, conducting research, and undertaking special assignments. The Executive Assistant will also be responsible for maintaining the CFO's office organization, managing files meticulously according to company policies, and updating information. A core duty involves expertly managing the CFO's complex schedule, preparing all necessary documents for upcoming meetings and events, and acting as the primary point of contact for all individuals seeking to meet with the CFO. This includes assessing the urgency, necessity, and sensitivity of requests and strategically referring them to the appropriate staff members. This full-time, onsite position is conveniently located on the subway line, requiring 5 days in the office.
