Johns Hopkins Hospital, a premier healthcare institution, seeks a highly skilled Executive Assistant to provide comprehensive, high-level administrative support to the Executive Director of Strategy and Performance Excellence. This pivotal role involves the meticulous management of complex schedules, seamless coordination of communications, and dedicated support for strategic initiatives, all essential for the efficient operation of the Office of the President.

Responsibilities include:

  • Administrative Support: Efficiently manage calendars, schedule meetings, coordinate travel arrangements, and process expense reports.
  • Communication Management: Draft, proofread, and expertly manage correspondence, ensuring prompt and professional responses to all internal and external inquiries.
  • Meeting Coordination: Assist the Executive Director with agenda planning for key leadership and staff meetings across the organization. Prepare detailed agendas, accurately record minutes, and diligently follow up on action items for all high-level meetings.
  • Event Coordination: Support the Executive Director in the meticulous planning and execution of high-profile internal and external events, including leadership retreats, board meetings, town halls, and ceremonial functions. This involves coordinating all logistics such as venue selection, catering, AV setup, participant communications, and materials preparation.
  • Project Assistance: Aid the Executive Director in tracking strategic initiatives, preparing impactful presentations, and managing updates to organizational policies and procedures.
  • Confidentiality: Handle all sensitive information with the utmost discretion and professionalism.
  • Stakeholder Engagement: Act as a primary liaison with senior leaders, faculty, staff, and external partners on behalf of the Executive Director, ensuring professional and responsive communication.
  • Office Operations & Collaboration Tools: Maintain impeccably organized filing systems, manage office supplies, and support general office functions. Proficiency in utilizing Microsoft Teams and SharePoint for communication, document management, and collaboration is essential. Demonstrates a willingness to learn and adopt new organizational and collaboration tools as needed.
  • Service Orientation & Flexibility: Exhibit a proactive, service-oriented approach in all interactions, with a steadfast commitment to supporting the needs of leadership and the broader organization. Willingly undertake additional duties as assigned to support the evolving requirements of the Office of the President and executive leadership.
  • Cross-Team Support: Provide essential back-up administrative support to other Executive Assistants supporting executive leadership during absences, peak periods, or special projects. Collaborate effectively across the executive assistant team to ensure operational continuity and the sharing of best practices.
