Full Job Description
WSP, a leading consulting engineering firm specializing in data centers and mission-critical environments, seeks a Senior Project Coordinator for its Milwaukee, WI location. This role is integral to project success, providing comprehensive administrative support to project leaders and teams throughout the project lifecycle. You will be key in enhancing communication, fostering integration among team members, and ensuring seamless client interaction.
Responsibilities:
- Manage and publish project calendars, schedules, and team communications.
- Prepare materials for project pursuits and internal documentation.
- Process contracts, sub-consultant agreements, and related forms.
- Schedule and coordinate design reviews, charrettes, and regular project meetings.
- Attend and document project, department, and team meetings, distributing notes as required.
- Generate project financial management reports and track invoices and payments.
- Monitor scope changes and prepare add service requests for clients.
- Maintain organized project document storage according to WSP standards.
- Manage the RFI, submittal, and response process, including tracking and distribution.
- Provide essential production support to project technical staff.
- Distribute project materials to clients and industry partners.
- Edit and format specifications, Table of Contents, Basis of Design Reports, and other written documents.
- Assist Engineers of Record with project status forms and filings with Authorities Having Jurisdiction.
Requirements:
- High School Diploma or GED.
- Minimum of 3 years of relevant experience.
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent verbal and written communication skills, with strong problem-solving abilities.
- Strong computer and typing proficiency.
- Exceptional attention to detail and thoroughness.
- Self-motivated, flexible, and eager to take on new tasks and support team initiatives.
- A strong desire and willingness to learn.
- Proven ability to manage multiple deadlines concurrently.
Preferred Qualifications:
- Basic CAD and REVIT skills.
- Familiarity with Deltek Vision.
- Experience with Smartsheet.
- Working knowledge of cloud-based file sharing platforms (e.g., SharePoint, ShareFile, Newforma, Dropbox, Box).
